Terms and Conditions 2026-10-27 Last updated 27 October 2026. These terms apply to new bookings and quotation requests made through this website or with our office. Existing bookings keep the terms version already agreed. Payment Unless agreed otherwise before booking, payment is due within three calendar days of invoice and routine report delivery follows cleared payment. Urgent safety findings are communicated promptly. This does not limit statutory rights. Late cancellation / failed access Outside any overriding statutory cancellation right, a late cancellation, rescheduling or failed-access charge may apply as disclosed in your booking. The starting disclosed appointment charge is £110 + VAT (£132 including 20% VAT). For consumers it will not exceed our reasonable net loss caused by that event, taking account of costs saved and replacement bookings, and is capped at the disclosed appointment charge. We do not charge where the failure is our responsibility. This is a reasonable charge reflecting reserved attendance, not as a penalty. Access and parking You must provide accurate property, contact, access and parking information and ensure safe access during the arrival window. Report delivery Reports/certificates are issued after the inspection is completed and, where applicable, after payment has cleared — without seeking to defeat non-excludable consumer rights. 1 Definitions In these Terms, “we”, “us” and “our” mean Codeex Maintenance Ltd, trading as London EICR Certificates. “You” means the customer instructing the services. EICR — Electrical Installation Condition Report. Engineer — the electrician or assessor who physically carries out the inspection and signs the report. Subcontractor — an independent qualified engineer engaged to perform services. Services — electrical inspections, EICRs, testing, reports, remedial works, re-tests and related compliance services as agreed. Report / Certificate — any EICR or related findings, recommendations or certification issued following inspection. 2 Nature of our service and contractual position Your contract is with Codeex Maintenance Ltd. We may appoint suitably qualified independent subcontractors to deliver the agreed services. The inspecting and signing professionals exercise independent technical judgement. We administer bookings, communications and payment and coordinate technical queries. Subcontracting does not remove any responsibility we owe you under applicable law. Inspections, testing, report content, defect coding and certification are carried out and signed by the attending engineer or subcontractor. Codeex does not dictate or bargain over observation codes. You may submit complaints and claims to Codeex. We obtain technical answers from the inspecting professional without rewriting independent judgement. 3 Agreed scope of services Services may include EICRs, electrical testing, reporting, remedial works (if separately agreed) and re-inspections. Services are limited to the scope agreed at booking or in a later written variation. An EICR is a professional opinion of the installation’s condition at the time of inspection within the agreed scope. It is not a guarantee of future safety, performance or ongoing compliance. No dismantling, destructive investigation or intrusive opening-up is included unless expressly agreed in writing. 4 Bookings, confirmation and appointment windows Submitting an online request does not confirm an appointment. Our office checks availability and agrees any required quotation or additional charges with you before sending your appointment confirmation in writing by email, SMS or WhatsApp. Telephone arrangements are followed by written confirmation. The confirmation records the agreed service scope, price and arrival window. Appointment times are provided as arrival windows, not guaranteed fixed times. You must provide accurate property details, access instructions, parking information and on-site contact details. Incorrect or incomplete information may cause delay, additional cost or an abortive visit. We may refuse or stop work where access is restricted or conditions are unsafe. 5 Access, safe site conditions and abortive visits You must ensure suitable access is available throughout the appointment window. Engineers are not required to move furniture, appliances, stored items or personal belongings. You must provide a reasonably safe working environment, including absence of uncontrolled water leaks, exposed live parts that create immediate danger, structural hazards, and vermin or biohazards that make attendance unsafe. Parking permits, visitor bays, congestion charges and building access arrangements are your responsibility unless we expressly agree otherwise in writing. Additional chargeable scope is agreed before it is billed. Outside any overriding statutory cancellation right, a late cancellation, rescheduling or failed-access charge may apply as disclosed in your booking. For consumers it will not exceed our reasonable net loss caused by that event, taking account of costs saved and replacement bookings, and is capped at the disclosed appointment charge of £110 + VAT (£132 including 20% VAT). We do not charge where the failure is our responsibility. We do not charge a duplicate fee plus the same full-service loss. Statutory cooling-off cancellation, where it applies, is handled under section 6 and does not automatically trigger this appointment fee. Cancellations should be given in writing (email or WhatsApp accepted) as soon as practicable. Cancellation and missed-access charges are shown including VAT at the standard rate. 6 Consumer distance-contract cancellation (where applicable) If you are a consumer entering a qualifying distance or off-premises service contract, you may cancel without giving a reason within 14 days after the contract is made. Contact mail@codeex.co.uk or use the cancellation form. Any clear statement of your decision to cancel is sufficient. These rights take priority over our appointment cancellation policy. Online and telephone consumer service bookings are treated as potentially within those Regulations. We do not classify every landlord as a business. Classification depends on the contracting person's purpose and capacity. Uncertain cases are handled conservatively. If an appointment requires work to start during the 14-day period, we need two separate unticked confirmations: an express request that the agreed service starts before the 14-day cancellation period ends, and a separate acknowledgement that you lose the cancellation right once the agreed service has been fully performed. Consent to early work does not itself end the cancellation right. If you cancel after a valid early-start request, we may charge a proportionate amount for work properly supplied before cancellation where the law permits. Without the required request or cancellation/cost information, we do not assume those charges are recoverable. Full performance of an EICR is not the inspection visit alone where the contracted service includes preparing and delivering a report. We do not use the urgent-repair exception for ordinary EICRs or routine remedials. We give you the cancellation information and model form with the controlled terms version and again with the booking-request acknowledgement on a durable medium. We keep a snapshot of the order, VAT-inclusive consumer price, terms version/hash, cancellation pack, recorded selections, contract formation time, scheduled and actual start, completion and report delivery. Missing cancellation information can extend the cancellation period. 7 Payment terms Invoices are issued by Codeex following completion of the relevant service unless otherwise agreed. Existing purchase-order and credit terms are honoured where already agreed. Unless agreed otherwise before booking, payment is due within three calendar days of invoice and routine report delivery follows cleared payment. This arrangement does not limit statutory rights or our safety duties. Urgent safety findings will be communicated promptly. We will not describe an accurate report as technically invalid solely because an invoice is unpaid. Payment disputes are addressed through our complaints and lawful debt recovery processes. Business customers: where the Late Payment of Commercial Debts legislation applies and no alternative contractual remedy displaces it, statutory interest is eight percentage points above the relevant Bank of England rate, with the applicable fixed sum: £40 below £1,000; £70 from £1,000 to £9,999.99; £100 from £10,000. Additional reasonable recovery costs may be recovered only as permitted, without double recovery. Consumers: the commercial late-payment statutory interest regime and those fixed sums do not apply automatically. We use reminders and lawful recovery. Court costs and interest follow the relevant rules and are not an unconditional entitlement to every solicitor bill. No new consumer contractual interest rate is added here. We do not implement indefinite report withholding as a universal right. A contractual billing condition cannot excuse missing a legally required disclosure. Statutory repeat performance and price reduction remain available where the law provides them. We do not claim exclusive ownership of reports so as to prevent intended delivery to tenants, agents, insurers or authorities. 8 Inspection process and limitations Inspections are carried out with reference to BS 7671 and applicable industry guidance within the agreed scope. An EICR is inspection and testing of the electrical installation within the agreed scope, not only a visual look-over. Concealed or inaccessible areas (including wiring behind walls, under floors, above ceilings or within sealed structures) cannot be fully inspected and are recorded as limitations on the report. Hidden, latent or future defects outside the inspected and accessible scope are outside the inspection. Electrical power may be temporarily isolated during testing. You are responsible for protecting sensitive equipment and for notifying us of critical circuits before attendance where known. 9 EICR findings and professional judgement Observation codes (C1, C2, C3 and FI) are assigned by the signing engineer based on the defect, test results, circumstances and competent-person judgement. Coding decisions are matters of professional judgement. Codeex does not rewrite an engineer’s independent coding to obtain a preferred outcome. Technical queries about specific observations should be raised with reference to the signed report. Reinspection or clarification may be arranged where appropriate. 10 Unsatisfactory reports, remedial works and reinspection Where an EICR is unsatisfactory, remedial works are quoted separately unless included in a written package. You are under no obligation to appoint Codeex or its subcontractors for remedial work. A satisfactory outcome after remedial work depends on rectification and any required re-testing. Re-inspections are chargeable unless included in an agreed package. For Codeex-supplied remedials, subcontracting alone does not extinguish customer remedies. Any subcontractor guarantee is only as actually given and evidenced. The absence or expiry of a voluntary warranty does not end statutory rights. 11 Third-party reports and disputes If a third-party electrician disputes an EICR, we ask for a reasonable opportunity to review and, where appropriate, re-inspect. Independent evidence is considered. That opportunity is not a condition that defeats statutory remedies, and it does not prevent emergency action to make a property safe. Alternative opinions are considered on their merits and are not automatically accepted or rejected without review. 12 Reliance on customer-supplied information We rely on information you provide about property layout, alterations, previous works and installation history. Inaccuracies, omissions or undisclosed information may affect inspection outcomes. Provide material facts known to you before attendance. 13 Subcontractors and insurance Subcontractors are independent professionals who exercise independent technical judgement. They remain responsible to Codeex under their appointment, and Codeex remains the contracting supplier to you. Subcontractors are required to hold suitable insurance evidence, subject to renewal checks. We check the insurer, the activities covered and the renewal date before work is assigned. 14 Liability and lawful limitations Nothing limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability or consumer right that cannot lawfully be restricted. Our responsibility is assessed against the agreed scope and the care and skill required by law. We are not responsible for losses caused solely by matters outside that scope where the limitation was properly agreed and does not excuse negligent inspection or reporting. An EICR is not a safety guarantee. The report reflects inspection and testing of the accessible installation at the time of inspection within the agreed scope. For business customers, any limit on our liability is set out in the written quotation or contract for that work, not on this page. Consumer exclusions of foreseeable property damage, and blanket exclusions for fire or injury, are not used. Reasonable access, equipment-shutdown and accurate-information duties remain, without excluding Codeex’s own negligence. 15 Workmanship warranties Remedial works carried out directly by Codeex include a 12-month workmanship warranty unless stated otherwise in writing. The warranty excludes customer-supplied materials, third-party alterations, fair wear and tear, and damage occurring after completion that is not caused by our workmanship. Any guarantee given by a subcontractor is only as actually given and evidenced. Subcontracting alone does not extinguish customer remedies for Codeex-supplied remedials. The absence or expiry of a voluntary warranty does not end statutory rights. 16 Force majeure We are not liable for failure or delay caused by events beyond reasonable control, including illness, accidents, severe weather, transport disruption, strikes or supply shortages, provided we take reasonable steps to resume performance. 17 Data protection Personal data is processed as described in our Privacy Policy at /privacy-policy/. Data is shared with engineers and service providers only as needed to deliver services or meet legal duties. 18 Governing law and company information These Terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, without prejudice to any mandatory consumer rights to bring proceedings in another competent forum. Please give your booking reference, the property address, and the service concerned where you have them. We aim to acknowledge complaints within five working days and to give a full response within fifteen working days. We will review the booking, report and communications. Technical answers are obtained from the inspecting professional without dictating codes. Reasonable inspection and cure may be offered without making it a condition that defeats statutory remedies. Relevant independent evidence is accepted for assessment. Liability does not depend on Codeex’s sole discretion. Emergency action to make a property safe is not prevented. Access to the courts is preserved, including applicable consumer jurisdiction rights. If we cannot resolve a complaint, our final written response will tell you whether an alternative dispute resolution provider is available for it and whether we are obliged to take part.

Privacy Policy Last updated 27 October 2026. This policy explains what personal information we collect through this website and our booking service, why, who sees it and how long we keep it. Codeex Maintenance Ltd is the data controller. London EICR Certificates is its trading and marketing name — not a separate company. We collect booking, property, access and communication data to arrange inspections and quotations. Renewal reminders are currently paused. Any future optional reminder service will be separate from accepting an inspection and subject to its own preference and unsubscribe controls. Forms are submitted to our own systems. On the published production website, Vercel Web Analytics, Google Analytics 4 and masked Microsoft Clarity recordings on public information pages run only if you accept analytics. WPForms, Google Tag Manager and Meta Pixel are not used. The EICR guidance assistant and compliance checker keep answers in the browser session and do not send chats to an external AI provider. Information we collect We collect personal data that is necessary to deliver services, respond to enquiries and operate the website securely. Contact data: name, email, telephone. Property and access data: address/location, access notes, parking constraints, booking preferences. Booking agreement records: your typed name, drawn or typed electronic signature, chosen signature method, acceptance time and the terms supplied with your request. We keep these privately to administer the booking and handle queries or disputes; we do not use the drawing to verify your identity biometrically. Communication history across email, phone and WhatsApp where you contact us. Technical data generated by hosting and security controls (for example request metadata). Marketing or renewal preferences where you make a separate choice. Invoice, billing and payment-status data for booked work: invoice amounts, due dates, and whether an invoice is unpaid, part-paid or paid after a bank transfer is recorded. We do not collect card numbers or other payment-instrument details through this website. Tool inputs held in the browser for the price calculator (non-personal selections) and in-session answers for the compliance checker and curated guidance assistant. Purposes and lawful bases We do not rely on a blanket statement that using the website means you agree to all processing. This notice is information, not blanket agreement. Terms acceptance is separate from optional marketing. Contract / steps prior to contract — only where necessary for the individual’s own booking, quotation, invoice, report delivery and related service communications. We do not use contractual necessity automatically for a tenant who did not contract with Codeex. Legitimate interests — tenant/site-contact coordination, relevant business contacts, proportionate claims prevention, customer support, securing the site and preventing spam, with a balancing assessment. Provide appropriate information when contact details come from landlords or agents. Minimise access notes and avoid unnecessary health or sensitive household details. Legal obligation — tax, accounting, insurance, regulatory and dispute records where a specific duty applies. Consent — optional analytics/tracking and optional renewal/marketing. For email, SMS or WhatsApp marketing to individual subscribers, legitimate interests alone does not bypass PECR: we need consent or every applicable soft-opt-in condition. Corporate subscribers are distinguished from sole traders and some partnerships. Renewal marketing is distinct from essential service communications. Objections are respected and a minimal suppression list is kept. Public review submission is not automatic permission to republish private email feedback. You can withdraw consent at any time without affecting the lawfulness of processing before withdrawal. Marketing opt-out does not disable essential service notices. Cookies, analytics and advertising Strictly necessary storage supports security, consent preference and essential booking/calculator behaviour. Optional analytics default to off. Accept, reject and settings controls are available and your choice does not block booking. On the published production website, Vercel Web Analytics and Google Analytics 4 measure visits, controlled interactions and successfully saved requests. Microsoft Clarity provides strictly masked recordings and heatmaps on public information pages without forms. Booking forms, signatures, quotation forms and private operational pages are excluded from recording. These providers remain disabled on review previews and before publication approval. Analytics events exclude form contents, names, contact details, addresses, postcodes, signatures, uploaded files and booking references. Analytics page URLs exclude query strings and fragments. Google advertising storage and personalisation remain disabled; Google Tag Manager and Meta Pixel are not loaded. Withdraw analytics consent on the Cookie Policy page; this clears our analytics cookies and reloads the page to stop loaded scripts. To distinguish search and campaign traffic, Google receives an external referring website's origin without its path or query, and only recognised public campaign labels. Arbitrary campaign text, search terms and advertising click identifiers are excluded. If you accept analytics, this tab remembers the first public page observed after consent, the external referring website's origin and recognised campaign labels for up to 30 minutes. When you submit a request, these limited values can be saved with it for first-party enquiry reporting. We do not save query strings, search terms or advertising click identifiers as attribution. Booking works without this storage, and missing attribution is not treated as direct traffic. See the Cookie Policy for the session keys and withdrawal controls. Non-essential technologies are not activated until you accept them where consent is required. Sharing, engineers and processors We do not sell personal data. If you accept optional analytics on the published production website, Vercel, Google Analytics and Microsoft Clarity receive limited website-use information, including technical information processed when your browser connects to their services. Clarity masks all text and is restricted to public information pages without forms. These optional services are separate from processing your booking request. Attending engineers or subcontractors may receive name, property address, contact details, access instructions and documents needed to perform the booked service. They must not use that data for unrelated marketing. Access is restricted to assigned jobs. The attending engineer is the author of your report and is responsible for the technical content and for the records their registration scheme requires them to keep; for the administration of your booking they act on our instructions under a written agreement. We use these service providers to run the website and the booking service, each under a contract that limits them to processing on our instructions: Vercel (website hosting and private file storage), Supabase (booking database, hosted in London), Resend (sending transactional email such as confirmations, reminders and reports), Cloudflare (the Turnstile security check on our forms), Microsoft 365 (the mail service that receives email sent to our office address) and Google Workspace (our office email). If you choose to contact us on WhatsApp, Meta processes those messages under its own terms. We do not take card payments through this website. Invoices are paid by bank transfer, so no card details are collected or stored by us. Forms are submitted to our own systems; no third-party form service is used. We may disclose data where required by law, insurers, courts or professional advisers. Website tools (calculator, checker, guidance assistant) Price calculator: remembers non-personal estimate choices in your browser (property type, bedroom band, short postcode, parking). It does not create an account. Compliance checker: answers stay on this visit and are not kept as a permanent record by the tool. You may print a summary locally. EICR guidance assistant: uses on-site guidance material. Conversations are not sent to an external AI provider and are not stored permanently by the tool. International transfers Restricted transfers are used only where an adequacy decision or actually executed UK-appropriate safeguards and required assessment are evidenced. EU SCCs alone are not asserted as a sufficient UK mechanism. The UK Addendum or IDTA is checked where applicable. Overseas support or access is documented when known. Where a provider above processes data outside the UK (for example email delivery), it does so under the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses. You can ask office@londoneicrcertificates.co.uk for details of the safeguards in place. Security Booking and quotation data is held in access-controlled systems, encrypted in transit and at rest; engineers see only the jobs assigned to them; staff and contractors are bound by confidentiality; our forms are protected by a security check against automated abuse. No method of transmission or storage is completely secure. Retention We keep personal data only as long as needed for the stated purposes and applicable legal requirements. Retention depends on the type of record and why it is needed. Contact us to ask about a particular record. Booking, report and invoice records are kept for six years after the service, which is the period our accounting obligations and any claim about the work require. Access notes and routine technical logs are kept for much shorter periods. Renewal-reminder records are kept until you unsubscribe or the property is no longer ours to remind you about. Browser tool state and consent preferences remain under your control and are not treated as permanent membership accounts. Automated decision-making We do not use automated decision-making that produces legal or similarly significant effects on individuals. Your UK GDPR rights Depending on the circumstances you may have rights to access, rectify, erase, restrict, object, data portability, and to withdraw consent. To exercise rights, email mail@codeex.co.uk. We may need to verify your identity. Data-subject access response deadlines are separate from privacy-complaint acknowledgements. We do not knowingly collect personal data from individuals under 18. Personal data breaches We log personal data breaches and assess notification separately: the ICO within 72 hours where required and feasible, and individuals without undue delay where high risk requires it. Those thresholds differ. Reviews and testimonials If you submit a review on a public platform, that platform’s terms apply. We only republish review content with a lawful basis and without publishing unnecessary personal details. Updates We may update this Privacy Policy.
